Department Spotlight

The department spotlight for November shines on Health Information Management.

The Health Information Management Department (HIM) is comprised of 52 employees and provides medical record management services at all three hospital sites including, but not limited to, coding, transcription adjustments, release of information, chart management, assembly and analysis, filing, and storage services.

Physicians, nurses and other health care providers require health information when delivering health care services to a patient. Thus, the patient's medical record serves as a vital communication link among health care providers at PSF.  Since, HIM is the gatekeeper of health information, it has a unique responsibility to collect and manage patient data and disseminate it.   Thus, HIM plays a key role in health care because of their positive impact on patient care and the bottom line.

The purpose of a patient's medical record is to accurately and adequately document a patient's past and present health history in the form of physical findings, results of diagnostic and therapeutic procedures and the patient's response.  A patient's medical record is the property of PSF.  The information contained in the medical record belongs to the patient.  All patient information is regarded as confidential.

The Coding Office processes over 18,531 outpatient accounts a month. These include radiology, laboratory, reference lab, nuclear medicine and outpatient rehabilitation to name a few. The Transcription Office is outsourced with MedQuest. There are approximately 20,000 documents transcribed per month.  The Clerical Offices are located at all three hospital campuses and perform primarily the same functions at all three sites: collecting, disseminating, filing, and analyzing health information; More then 5,000,000 pieces of paper are generated each year that eventually find the way to HIM. The Release of Information Office is centralized at Penrose Hospital (PH) and processes over 2,000 record requests (excludes phone calls) per month. The Offsite Storage Office, known as Centura Record’s Center stores and manages all of the inactive inpatient and outpatient medical records from the three hospitals locally and from all the Centura facilities statewide. 

Mary Rose is the Director of HIM and finds the most rewarding thing about HIM is being able to assist patients who are going through difficult times i.e., whether it be health wise, financially to get bills paid through proper billing and coding or assisting with the chart to make sure it is complete which is ultimate in the end as it is vital to healthcare.

Willingness of her staff to help each other out and support each other even though they may do a different job is the most unique thing about HIM.  “They always step up to the plate when called upon.”

Mary would like others who read this article to understand the importance of receiving information on a timely basis.  HIM has a process, goal and a deadline to meet which affects the organization’s bottom line.

What’s ahead for HIM?  Beginning January 5, 2010 the ED will be going live with scanning of ER records. If this goes well, HIM will then proceed to other areas of care.  HIM will then be 100% with electronic records which is being mandated by the government.  RAC’s (Recovery Audit Contractors) will be coming on board which will increase staff workflow i.e., pulling charts, etc. for auditors.

Immediate challenges ahead for HIM will be ICD-10.  This will require additional education for coders however, once implemented it will be better for the organization - but getting to that level will definitely be a challenge.

The Rewards & Recognition Committee would like to say ‘thank you’ to the Health Information Management Department for all they do and congratulates them for being the November Department in the Spotlight.

Miracle Meters

Miracle Meters, the brainchild of former City Councilman Jerry Heimlicher, has evolved into a community-wide volunteer project that launched at various community businesses last week, including Penrose Hospital and St. Francis Medical Center.

Local college and high school students, artists from the Smokebrush Gallery & Foundation for the Arts and former homeless people hand-decorated 104 used parking meters. The meters are placed in various local businesses and serve as an alternative to giving money to panhandlers. The meter money will then help fund Housing First Pikes Peak, a program that provides transients with housing before addressing their other common problems, such as alcoholism, drug abuse or mental illness.

If you would like to donate your spare change to help the chronically homeless and mentally ill substance abusers, meters are located in the following areas:

Penrose Hospital - Across from the Java Mountain espresso bar - 1st floor
St. Francis Medical Center - Front entrance

Sharon Meyers

Congratulations!

Sharon Meyers, Vice-President of Major Gifts and Special Projects, has earned the credential, Certified Fund Raising Executive. CFRE is the only internationally-recognized baseline professional credential for philanthropic fundraising executives. It requires a minimum of five years of proven fundraising experience and success, the passing of a written exam measuring the mastery of six core knowledge areas related to fundraising practice, adherence to high ethical and accountability standards, and a commitment to continued education for recertification every three years. The credential reflects achievement, demonstrates commitment, enhances professional image, and increases credibility. 

The PSF Health Foundation and PSF are very proud of Sharon.  We are very fortunate to have her on our team!

Webb Library Information

Last week, the U.S. Preventive Services Task Force issued new guidelines on mammograms for women in their 40’s and 50’s. This caused controversy among women, physicians, and even the American Cancer Society. The article is published in the November 17 issue of the Annals of Internal Medicine which is available through the library.  It is also available online from OVID.

If you would like a copy of this article or any other article, e-mail the library at webblibrary@centura.org or contact Casey Welch, the medical librarian, 776-5288.  It is also possible for physicians and associates to get some full-text articles (as the cited above one) from the library’s online databases, particularly OVID and EBSCO which physicians and associates can access from Webb Library’s Intranet Site on MVW. 

LIBRARY CLOSURE: The library will close at 2 p.m. on Wednesday, November 25 and will be closed on Thursday and Friday for Thanksgiving.

Puzzle Piece

New Award

The Rewards and Recognition Team has created the “You’re An Important Piece of the Puzzle” award to honor employees of contracted venders at PSF.  This award will be given out quarterly.

The first recipient of the award is Valet Services at PSF and SFMC. Valet Services is the first point-of-contact for many of our patients, visitors and guests and provides quality service in all kinds of weather and with a smile. Congratulations to Valet Services!  They are truly an important piece of the puzzle.

2020

Kick Off Event

On November 3, SFMC held a kick-off event for SFMC 2020 Champions.  2020 Champions are a group of 150 associates who represent a cross section of job descriptions, facilities and entities throughout the Centura Health family.  Their role is to serve as a resource, role model, agent of change, storyteller and information disseminator about the 2020 Plan.  At the SFMC event, champions listened to Gary Campbell’s radio interview on the 2020 Strategic Plan, learned how to use Yammer, and shared creative ideas for getting the word out to associates.  Champions also received bags of “swag” to share with associates and had their picture taken under the 2020 BELIEVE banner located outside Administration. SFMC managers enjoyed cookies and punch, met the SFMC 2020 Champions and learned about the program.

2020 champions are located a various PSF facilities and will serve as your resource for communicating the 2020 Plan.

ASSOCIATE FINANCIAL ASSISTANCE

Penrose-St. Francis Health Foundation’s Associate Financial Assistance Fund program guidelines are online at WWW.PSFFOUND.ORG.  Click on the link on the home page and you’ll be directed to the same information sheet that appears on the back of the assistance application. Please note that the application form itself is not available to complete online.  You must still complete the request process in person through the Foundation office located on the third floor of the Margery Reed Memorial Building, Penrose Hospital campus. For additional information or to schedule an appointment, please call 776-7760, Monday through Friday, 8 a.m. to 5 p.m.

TUITION REIMBURSEMENT
In an effort to save time and paper, Education will no longer distribute hard copies of applications and guidelines for tuition reimbursement.  Associates can access these documents via My Virtual Workplace.  For more information, please contact PSF Education at 776-5186.

HR AT PENROSE HOSPITAL
The PSF Human Resources Department is delayed in moving back to Penrose Hospital. In the meantime, HR is offering onsite support hours Mondays, 12:30 to 4:30 p.m., and Wednesdays, 7:30 to 11:30 a.m. HR representatives will be located in the PH Wellness Center in the E-Tower basement. Check out these community health and wellness classes at the Health Learning Center.

All classes require pre-registration / cancellation a minimum of 24 hours prior. A $20 no show fee will be billed to the participant if registration not cancelled 24 hours in advance. To register or for more information, please call the Penrose Health Learning Center at 776-3600.

T’ai Chi – A form of ancient Chinese martial arts that works to improve body awareness, strength and coordination. Offered monthly, Tuesdays and Thursdays beginning the first Tuesday of each month, 9 to 10 a.m. Dec. 1-17 (three weeks only). The cost is $40 for the 4-week session (or discounted session rate as applicable).

New!  Creating Healthy Food Gifts – Healthy food is always a great gift idea. Join us in creating items such as soups, teas, basket ideas, cookies or other treats to personalize your holiday giving.  An economic way to please even the most difficult person on your list.  5:45 p.m. – 7:15 p.m.,  Tuesday, Dec. 1. The cost is $30.       

Join The Health Learning Center Gym – Did you know that a one month membership at the HLC gym is equal to one class option through Colorado Springs Utilities?  Join us for one or more months and get your workouts kick started under the guidance of our fitness experts.  Call the registration number for an exercise intake appointment.  By appointment only. Contact 776-4761 to schedule your intake to initiate your membership. The cost is $46 per month / no contracts – month to month membership.

New!  Individual Fitness Assessment – Measure your fitness levels against the national averages and note areas in which you excel and potential areas of need. A sub-max VO2 treadmill test as well as evaluations for flexibility, strength and strength endurance will be performed.  Results will be reviewed and discussed with a fitness expert to help direct you in your future fitness goals.  By appointment only; contact 776-3600 to schedule your appointment .  The cost is $50. 

Aquatics Classes – The Penrose Health Learning Center in cooperation with Colorado Sports and Spine. A structured class two to three times per week, concentrating on range of motion, overall strengthening and general cardiovascular conditioning.  All Aquatics classes are located at 1625 Medical Center Point (Union and Templeton Gap).  The cost is $46 per month for 2x / week or $66 per month for 3x / week.
- Monday/Wednesday/Friday: 10:30–11:30 a.m. and 11:30 a.m.-12:30 p.m.
- Monday/Wednesday: 5-6 p.m.
- Monday/Friday: 12:30-1:30 p.m
